On this journey, we are looking for Program manager who is also interested to take on a wide range of activities.
Main Responsibilities:
- Project initiation and delineation
- Drawing up a project plan together with the project lead.
- Define/prepare the governance structure, composition of the SteerCo, role of MT CREFS and the various workstream.
- Recording deliverables per project phase (Tenderstrategie, RFP & Due Diligence, Transitie & Continuous Improvement)
- Ensure that the necessary resources are available (legal, procurement, finance, portfolio managers, IT, etc.)
- Alignment with ongoing processes such as IT projects and Customer Journey initiatives.
Project organization and management:
- Leading the multidisciplinary project team, consisting of representatives from procurement, legal, finance, risk, HR, IT and external consultants together with the project lead.
- Preparing and chairing project meetings together with the project lead.
- Preparing periodic MT CREFS meeting.
- Prepare and participate in SteerCo meetings together with project lead.
- Acting as a central link between the SteerCo, MT CREFS and the operational teams.
- Preparation of progress reports
- Periodic coordination with Head of CREFS
- Coordinating support by the PMO (project administration, progress reports, issue-log) together with project lead.
Planning and Progress Monitoring:
Implementing a stage-gate approach for phasing together with the project lead and Procurement:
Tender strategy, Preparing tender, RFP, Selection & Negotiation, Transition.
Stakeholder and communication management
Risk management and compliance
- Drawing up a risk analysis in collaboration with Risk & Compliancy, Legal, Procurement and monitoring of mitigating actions (e.g. business continuity, legal risks).
- Ensure that all project components meet internal compliance standards, including data integrity and IT compliance.
Implementation and transfer
Ensuring knowledge transfer to the retained organization (CREFS).
Experience and background
- At least 8 years of experience in project or program management within complex, multidisciplinary processes.
- Proven experience with tender processes (RFI/RFP) and contract management in a corporate environment.
- Experience in facility services, property management or related domains
- Familiar with governance structures and stakeholder management at senior level.
- Experience in managing multidisciplinary teams
- Strong knowledge of project management methodologies (Prince2, Agile).
- Excellent communication and organizational skills.
- Ability to manage complex interests and create alignment between different internal and external stakeholders.
- Knowledge of compliance, risk management and legal aspects within large organizations.
- Analytically strong, result-oriented and able to perform under pressure.
